Swiss AI Summit („SWAIS”, “we”, “us”, “our”) is committed to protecting your personal data. Your personal data will be collected, processed, and used exclusively in accordance with legal requirements and in good faith. This privacy policy (“Privacy Policy”) specifies the handling of personal data in accordance with the Swiss Federal Act on Data Protection ("FADP") and where applicable, the EU General Data Protection Regulation (“GDPR”).

A. GENERAL

1. Scope of processing

This Privacy Policy applies to all processing activities that are related to personal data concerning visiting our website (for more details please see section B below), attending at activities that we organize (e.g., events, workshops, communication with you, etc.), or becoming SWAIS member.

• Organizing activities (e.g., events, workshops, communication with you, etc.)

As part of organizing activities, we may process your contact details: name, e-mail address, address, telephone numbers, position, company information; contents of enquiries, documents, photos, videos of you at our events. With the registration for any of our events you agree to the recording of images of your person as well as to the publication of the images for the mentioned purposes described in this paragraph. These will be used to document the event, i.e., subsequently on our websites, blogs, and social media channels, as well as in brochures, if applicable. You can revoke the consent given with the registration for the creation of images and their publication at any time until the beginning of the event to the responsible persons.

• SWAIS membership

In case you decide to become a SWAIS member, we may process the contact information provided such as name, email address, phone number, payment information. To be able to process your payment we use the payment services provided by TicketTailor. • Volunteer

In case you wish to volunteer for the organization of SWAIS activities, you may volunteer to do so, without any obligation from our side. In such case we might process your personal data such as name, surname, email address, phone number.

• You contact us

In case you decide to contact us or to enter into an agreement with us, we may process your contact details: your first and last name, e-mail address, address, telephone numbers, position, associated company/office.

• Newsletter & Marketing

By subscribing to our newsletter, you consent to the collection, storage, and processing of your personal data, including your name, email address and preferences, for the purpose of delivering tailored content, event invitations and updates from SWAIS. You can cancel your newsletter subscription at any time by clicking the link at the end of the newsletter. You can submit your objection regarding information emails at any time by email to info@swissaisummit.com.

2. Transfer of data to third parties

We will only disclose your personal data to third parties if you expressly consent to this, if there is a legal obligation or permission to do so, if the disclosure is necessary to assert, exercise or defend legal claims, or if the disclosure of data is necessary for the management of our relationships with you.

As such, we may share your data with:

• Service providers (e.g., hosting, event management, email marketing platforms)

• Partners and sponsors (only with your explicit consent)

• Authorities if legally required.

Among our third-party services providers we can list:

• TicketTailor (https://www.tickettailor.com/ ) as our ticketing service provider

• B2Match ( https://www.b2match.com/de) as our event management platform to be able to organize the 1-1 meetings.

When you decide to use their services, you will be redirected to the website of the respective provider. After using the social media button, the respective provider receives information about your IP address and that you have visited our websites, as well as the necessary personal data that you decide to provide in order to be able to use their services. We have no influence on the processing of your personal data on their websites and therefore decline any liability.

Cross border data transfer

The transfer of personal data to countries outside of Switzerland, it is be based on the respective adequacy decisions of the Swiss Federal Data Protection and Information Commissioner ("FDPIC"). Accordingly, we have taken appropriate measures to ensure that the relevant personal data is always stored and available in Switzerland.


3. Storage periods

We retain your personal information for as long as we deem it necessary or appropriate to comply with applicable laws or as long as it is necessary for the purposes for which it was collected. We delete your personal data as soon as it is no longer needed and in any case after the expiry of the maximum retention period of five or ten years, respectively, as required by law. Personal data that is no longer necessary and for which there is no legal obligation to retain it will be destroyed once the purpose and justification for doing so no longer apply.


4. Data security

We take reasonable measures to ensure that your personal data cannot be accessed or stolen by unauthorized third parties. We use SSL encryption for security reasons and to protect the transmission of confidential content, such as requests that you send to us as the site operator.

5. Automated decision making and profiling

We generally do not use fully automated decision-making, nor do we conduct profiling activities. Should we use these procedures in individual cases, we will inform you about this separately if this is required by law.

• Visiting our website

When you visit our website, we only collect the personal data that your browser sends to the server (e.g., your IP address, the website which you are visiting us from, the date and time of access, the name and URL of the file accessed). If you decide to contact us, we may collect your name, your email address, and any other information which you choose to give us.

The website may contain links to other websites. Please note that we have no control over how your data is collected, stored, or used by other websites and we advise you to check the privacy policies of any such websites before providing any data to them.

• Visiting the ticket shop via TicketTailor

Zimma Ltd, trading as Ticket Tailor of Unit 222, Mare Street Studios, 203-213 Mare Street, London, E8 3LY is the platform we are using for ticket purchases. If you wish to participate to our activities, you might need to register & purchase the corresponding ticket. In doing so, you must provide us with your first and last name, and valid e-mail address, company and billing information. • COOKIES IN THE TICKETSHOP

In the ticket store, the tool TicketTailor sets various cookies. The cookies are used to make the ticket store more user-friendly, to analyze it statistically or to ensure functions such as the shopping cart functionality. Session cookies are automatically deleted after the session ends. Permanent cookies are deleted after two years at the latest. D. SOCIAL MEDIA PLUGINS

We use social media plugins from LinkedIn, X, YouTube, Instagram & potentially Meta on our website which are identified by the buttons of the same name. We use these services to make ourselves better known and to be able to get in touch with you.

These plugin on our website itself does not yet establish a connection between you and the servers of the social media providers, which is why the latter does not yet process any personal data from you at this point. When you click on the respective social media button, you will be redirected to the website of the provider. After using the social media button, the respective provider receives information about your IP address and that you have visited our websites.
